Keep the proof.
The Finanzamt has a question. You need the answer—and the invoices behind it.
A long-term home for your business documents—not just your invoices. Keep contracts, company letters, tax correspondence and financial records together. Understand them in English, ask questions and return to the original whenever you need it.
Your business archive.
Not another inbox.
Keep the paperwork your business accumulates over the years: contracts, official letters, reports, invoices and receipts. Chibibüro keeps the original PDFs and document photos alongside their explanations and facts. Find an old agreement, revisit a letter or ask a question without remembering which folder you used.
Check the invoice,
not a blank form.
Let AI fill in the supplier, date, amounts and category from a PDF or receipt photo. Spend your attention checking the result beside the original instead of copying every field yourself.
You stay in control: edit mistakes before confirming. Recognition can be wrong.
What came in?
What went out?
See the income and expenses recorded in your reviewed transactions. Compare periods, check a quarter, and see which categories account for your spending—without adding up the invoices again.
Totals come from reviewed transactions. There is no bank connection, and these figures are not your cash balance.
“Which invoices
do I need?”
Ask which invoices support an expense or what a German letter is requesting. Get an answer in English with source links, so you can read the evidence rather than take the answer on trust.
Check the sources before acting. Chibibüro does not replace tax or legal advice.
Find the detail.
Keep its source.
Your archive becomes a reference for the business, not just a pile of files. Keep company facts linked to the original documents. Review status separates candidates from confirmed information, and version history shows what changed. Return to the source long after the document first arrived.

Check one answer.
- 01
Bring one familiar document.
After setup, start with a PDF or receipt photo whose contents you can check. Connect a mailbox when you are ready to bring in more.
- 02
Check the result.
Read the explanation and compare the filled-in fields with the original. Correct mistakes before confirming the document and its linked transaction.
- 03
Ask a real question.
Ask about an amount or a detail in the document. Open the cited source to check the answer, then explore your reviewed income and expenses.
Keep the originals.
Plan for recovery.
Your original documents stay in private storage, alongside a database of their fields, transactions and fact history. A dependable self-hosted archive also needs scheduled backups and tested restores. The setup guide explains what to protect.
Read the storage and backup guide- Server
- Docker Compose, PostgreSQL and an HTTPS reverse proxy. You handle updates and backups.
- Services
- An AI provider, SMTP for email and private R2 or compatible S3 storage. Document processing is not offline.
- Other tools
- Use the API, CLI or MCP to work with your company data outside the web interface.
- Backups
- Back up the database, original files, configuration and encryption keys. You configure the backup schedule and verify restores.
A few things
to know.
Is this only for invoices and receipts?
No. Chibibüro is a long-term home for your business documentation: contracts, company letters, tax correspondence, reports and financial records. Keep PDFs and document photos together, retain the originals, and return to them through search, chat and source-linked facts. Your self-hosted installation needs backups; this is not a guarantee of legally compliant archival storage.
Does this replace my accountant?
No. Chibibüro helps you read, find and check your business documents. Its charts use amounts from reviewed transactions, not bank feeds, so they do not show your bank balance. Keep using your accountant and accounting software.
What if the AI gets something wrong?
You can edit the fields before confirming a document. Chat answers link to source records so you can check them. Unreviewed information stays marked as preliminary.
Does self-hosted mean my documents stay on my server?
Not entirely. The current setup sends document content to your chosen AI provider and stores files in private R2 or compatible S3 storage. It also needs SMTP for email. Check where your providers process and retain data before uploading real documents.
Can I use it if I don’t speak German?
That is who we are building it for: founders running a small business in Germany who prefer working in English. The interface and explanations are in English. For tax or legal decisions, you still need professional advice.
How are my documents stored and backed up?
Original files are kept in private R2 or compatible S3 storage; structured records and history are stored in PostgreSQL. For self-hosting, you configure backups of both the database and files, keep configuration and encryption keys safe, and test restores. Backups are not automatically configured by the application.
What do I need to run it?
A Docker-based server with HTTPS, PostgreSQL, private R2 or compatible S3 storage, SMTP and an AI provider. You arrange and pay for your infrastructure and provider usage, and manage updates and backups. The self-hosting guide explains the setup.
Which question would
you ask your documents?
Keep the documents. Understand the details. Find the answer with its source, whenever the question comes up.
